Learn how to create a Sale Receipt to record a sale and receive customer payment in a single transaction.

A Sale Receipt is used to record a sale when the customer pays in full at the time of the transaction. Unlike a Sales Invoice, which records the sale first and collects payment later, a Sale Receipt records both the sale and the customer payment in a single transaction.

When a Sale Receipt is posted, LocalizeBook automatically records the sales revenue, updates inventory for stock items, records the payment, and completes the transaction without creating an outstanding customer balance.

Recommendation

A Sale Receipt is best suited for businesses that receive payment immediately, such as Point of Sale (POS) operations, retail stores, cafés, restaurants, and convenience stores.

For businesses that need to manage customer credit, track outstanding invoices, or issue Tax Invoices and Commercial Invoices, we recommend creating a Sales Invoice first and then recording a Customer Collection when payment is received. This provides better control over invoice status, customer balances, and the collection process.


There are two ways of adding Sale Receipt transaction into Localizebook:

  1. Create Sale Receipt
  2. Batch Sale Receipt

Create Sale Receipt

Go to create the Sale Receipt in Localizebook:

  1. Go to the Customer menu.
  2. Click Customer Center.
  3. Click on button +Add in the center of the page.
  4. Click on Sale Receipt.
  5. Enter the basic information of the sale receipt:

1.Customer Name: Select Customer Name

  1. Date: Transaction Date
  2. PO Number: Input PO Number from Vender
  3. Currency: Select Currency
  4. Deposit To: Select account
  5. Price Level: Select price level

2.Number: Auto from system

  1. Due Date: Select date
  2. Salesperson: Select Sale Person
  3. Memo: Describe your transaction
  4. Payment Method: Select method

3.Warehouse: Select warehouse

  1. Address Name: Auto from customer
  2. Truck No: fill truck number (optional)
  3. Address: Auto from system

4.Discount and Tax Mode: Select Mode

  1. Subtotal: Auto from #5
  2. Discount: Auto from #5
  3. VAT:Auto from #5
  4. Grand Total: Auto from system #5

5.Item Name: Select item that to sale

  1. Item Code: Auto from item
  2. Description: Auto from item
  3. Qty: Input quantity
  4. Unit Name: Select unit set
  5. Price: Auto from item
  6. Sale Price: Auto from item
  7. Amount($): Auto calculate
  8. Discount: Input discount amount or percentage
  9. Grand Total: Auto calculate after discount
  10. VAT: Select VAT or N/A

After filling all with your information:

  1. Save & New: Save the current sale receipt and add another one.
  2. Save & Close: Save the current sale receipt and close the window.
  3. Close: Close window without saving the current sale receipt.
