A Stock Issue is used to record inventory items that are taken out of a warehouse without being issued through a normal sales transaction.
Stock Issue is mainly used when stock (raw material) is consumed for production (in period system), internal use, or other business activities.
Use Stock Issue when inventory needs to leave the warehouse for purposes other than a customer sale.
Common examples include:
1. Issue Raw Materials for Production (in period system)
Use Stock Issue to issue raw materials or components from inventory for production or assembly.
Example:
A company produces a computer and needs:
- 1 Motherboard
- 1 CPU
- 2 RAM
- 1 SSD
These components can be issued from the warehouse for production.
Stock Issue: Raw materials → Production
2. Internal Use
Use Stock Issue when inventory is consumed by your own business.
Examples:
- Office supplies used by employees
- Cleaning materials
- Packaging materials
- Stationery
- Other items consumed internally
Stock Issue: Inventory → Internal Use
3. Other Stock Consumption
Stock Issue can also be used for other legitimate business activities where inventory needs to be removed from stock without creating a sales transaction.
Examples:
- Samples
- Promotional items
- Items used for demonstrations
- Materials used for business activities
Stock Issue vs. Stock Adjustment
These functions also have different purposes.
Stock Issue is used when you know why inventory is being consumed or issued.
Stock Adjustment is used when you need to correct the recorded inventory quantity because the actual stock differs from the system quantity.
For example:
Materials used for production → Stock Issue
Physical count shows 5 fewer units than the system → Stock Adjustment
This distinction can help users understand the relationship between your inventory functions:
Purchase → Stock increases
Stock Issue → Components/materials are consumed
Stock Assemble → Components are converted into an assembled item
Sale → Finished stock is delivered to customer
To to create the new Stock Issue in Localizebook:
- Go to the Item menu.
- Click on Stock Issue.
- Click on button +Add in the top-right of the page.
- Enter the basic information of stock issue:
1.Number: Auto from system
- Date: Transaction date
- Warehouse: Select Sender Warehouse
2.Account: Credit account (Inventory Account)
- Memo: Describe your stock Issue
3.Item Name: Select Item
- Account: Debit Account (offset Account, You can change based on nature of stock issue)
- Item Code: Auto from system
- Unit Name: Please Select unit Set
- On Hand: Stock on hand
- QTY: Put Quantity that you want to Stock Issue
Note: The save
button for saving your current transaction line. if having a new transaction you must click the save button to have a new line to make a new transaction. The
button for delete the transaction line.
- After filling all with your information:
- Save & New: Save the stock issue and add another one.
- Save & Close: Save the stock issue and close the window.
- Close: Close window without saving the stock issue.
