A Unit Set defines how an item can be measured, purchased, and sold using different units.
For example, a business may purchase an item by case, but sell it by piece. A Unit Set allows you to define the relationship between these units so LocalizeBook can automatically convert quantities.
What Is a Unit Set?
A Unit Set is a collection of related units with a defined conversion relationship.
For example:
Unit Set: Piece
Base Unit: pcs
| Unit | Multiplier |
| pcs | 1 |
| dozen | 12 |
| case | 24 |
This means:
- 1 dozen = 12 pcs
- 1 case = 24 pcs
Once the Unit Set is created, it can be assigned to items that use the same unit structure.
Creating a Unit Set
When creating a Unit Set, configure the following information.
Unit Set Name
Enter a name that identifies the unit set.
Example:
Piece
The name should describe the primary unit structure rather than a specific item.
Base Unit
The Base Unit is the fundamental unit used for quantity calculations.
Example:
Base Unit: pcs
The base unit always has a multiplier of 1.
Adding Additional Units
You can add multiple units to a Unit Set.
For example:
Base Unit: pcs
Add:
dozen → 12
and:
case → 24
The resulting Unit Set is:
| Unit Name | Multiplier |
| pcs | 1 |
| dozen | 12 |
| case | 24 |
How the Multiplier Works
The multiplier defines how many base units are contained in one unit.
For example:
1 dozen = 12 pcs
1 case = 24 pcs
If an item has 5 cases, LocalizeBook can convert this to:
5 × 24 = 120 pcs
Default Purchase Unit
The Default Purchase field determines which unit is selected by default when purchasing an item that uses this Unit Set.
For example:
Default Purchase: case
This is useful when your supplier normally sells the item by case.
Default Sale Unit
The Default Sale field determines which unit is selected by default when selling an item that uses this Unit Set.
For example:
Default Sale: pcs
This is useful when you purchase products in cases but sell them individually.
Example
A business purchases soft drinks by the case:
1 case = 24 pcs
The Unit Set could be configured as:
- Base Unit: pcs
- Case: 24
- Default Purchase: case
- Default Sale: pcs
When recording a purchase, case is automatically selected as the default unit.
When creating a sales transaction, pcs is automatically selected.
Default for Item Setup
Enable Default for Item Setup if you want this Unit Set to be automatically selected when creating a new item, where applicable.
This can save time when most of your items use the same Unit Set.
For example, if most of your products are measured in pieces, you can set:
Piece → Default for Item Setup
Then the Unit Set can be automatically selected during item creation.
Active
Use Active to control whether the Unit Set is available for use.
Active
The Unit Set is available when creating or configuring items.
Inactive
The Unit Set is no longer available for new selections, while existing items or transactions that already use it can remain associated with it, subject to system rules.
Tip: Instead of deleting a Unit Set that has been used, consider making it inactive if you no longer want users to select it for new items.
Example: Beverage Business
A beverage company purchases and sells soft drinks using different units.
Unit Set: Piece
Base Unit: pcs
| Unit | Multiplier |
| pcs | 1 |
| dozen | 12 |
| case | 24 |
Default Purchase: Case
Default Sale: Piece
The company can then:
- Purchase 10 cases
- LocalizeBook converts the quantity to 240 pcs
- Sell 15 pcs
- Remaining inventory = 225 pcs
The same Unit Set can be reused for other products that follow the same conversion structure.
Unit Set vs. Item
A Unit Set defines the measurement structure, while an Item uses that structure.
| Unit Set | Item |
| Purpose | Defines units and conversions | Defines a product/service |
| Contains | Units and multipliers | Name, type, group, price, accounts, etc. |
| Example | Piece → Dozen → Case | Coca-Cola 330ml |
| Reusable | Yes | Each item is separate |
| Defines inventory item | No | Yes |
Simple way to remember
Unit Set = How is it measured?
Item = What are you selling or managing?
Recommended Setup
When creating Unit Sets, use a consistent naming convention and only create a new Unit Set when the conversion structure is different.
For example, if several products use:
1 case = 24 pcs
they can all use the same Unit Set.
If another product uses:
1 case = 48 pcs
you should create or use a different Unit Set with the appropriate conversion.
Important: The multiplier must accurately represent the relationship between the unit and the Base Unit. Incorrect multipliers will result in incorrect quantity conversions in transactions and inventory.
To create the new Unit Set in Localizebook:
- Go to the Item menu.
- Click on Unit Set.
- Click on button +Add in the top-right of the page.
- Enter the basic information of the unit set:
- Unitset Name: Name of Unit of measure set. A unitset is a combination of base unit and other related units.
- Base Unit: The smallest of your product unit name.
- Unit Name: Name of bigger unit measure.
- Multiplier: Is the coefficient of the base unit product.
- Add New Unit: Click on +Add New Unit button for adding more multi units of your product.
- Default Purchase: If you set the smallest of your product unit name, you can choose your unit when you purchase your goods.
- Default Sale: If you set the smallest of your product unit name, you can choose your unit when you sell your goods.
- Memo: Other comments or marks that are related to your unit set.
)
Note: The button for delete the transaction line.
- After filling all with your information:
- Save & New: Save the unit set and add another one.
