Batch Delete Transactions

Find and permanently delete several transactions at once from Accounting > Bulk Operations > Batch Transactions > Delete Transactions.

Use Delete Transactions to find transactions with filters and delete several of them in one step, instead of opening and deleting each one. Before anything is deleted, LocalizeBook checks related transactions and shows you which ones will be deleted and which will be skipped.

Who can use this function

  1. Admin and Accountant roles.
  2. Custom roles that have the Delete Transactions permission (Bulk Operations > Batch Transactions > Delete Transactions).
  3. The Read-only role can't use it. The Delete permission for one document type (for example, Bill Delete) does not give access. Users without permission see "You do not have permission."

Open Delete Transactions

  1. Go to the Accounting menu.
  2. Click Bulk Operations.
  3. Click Batch Transactions.
  4. Click Delete Transactions.

Find the transactions

Fill in the filters, then click Search. Click Reset to clear them.

  1. Date: choose All Date, Today (the default), This Week, Month to Date, Year to Date, Yesterday, Last Week, Last Month, Last Year, or Custom to pick a start and end date.
  2. Transaction: choose All or one type, such as Bill, Invoice, Payment, Collection, Cash Expense, Journal Voucher, or Stock Adjustment.
  3. Name: choose a vendor, customer, or other name.
  4. No.: tick Search by ref to turn on this field, then enter the transaction number.
  5. Amount: enter the transaction amount.
  6. Memo: enter text from the transaction memo.

Select the transactions

  1. Tick the box next to each transaction you want to delete. To select every row on the page, tick the box in the header.
  2. Total Selected shows how many are ticked, and the button changes to Delete Transactions (n).
  3. Your selection only covers the page you're on. Going to another page or reloading clears it. To see more rows at once, set the page size at the bottom to 25, 50 or 100.

Review and confirm

  1. Click Delete Transactions (n). LocalizeBook shows "Checking related transactions..." Nothing is deleted at this step.
  2. A confirmation window opens: "You are about to permanently delete the n transaction(s) listed below."
  3. Will be deleted (n): listed in the order they will be deleted. If one transaction depends on another, the dependent one comes first. For example, a collection is deleted before the invoice it pays ("Deleted after …").
  4. Will be skipped (n): transactions that can't be deleted, with the reason (for example, the invoice is paid and its collection must be deleted first). Skipped transactions are left alone.
  5. Click Delete Transactions to confirm, or Cancel to go back.
  6. If a transaction falls in a closed accounting period, you'll be asked for the closing-period password.

After deleting

  1. A banner shows the result, for example "8 of 10 transactions deleted.", and lists any that failed with the reason. Transactions that weren't deleted stay in the list.
  2. If none of your selected transactions can be deleted, you'll see "None of the selected transactions can be deleted."
  3. If you click Delete without ticking anything, you'll see "Please select at least one line."

Note: Deleted transactions cannot be recovered. The stock cost and journal entries behind them are recalculated. Check your selection carefully before you confirm.
